Frequently Asked Questions
Are you unsure of attending because you won’t know anyone?
Every year we have many first-time attendees, and we are confident that you will make new professional connections and friends when attending the sessions and walking through the exhibit hall. Don’t let this stop you from meeting us in Rhode Island!
Why is the rate the same for in-person and recordings only?
The creation of the APHON Annual Conference takes a full year of planning and requires an investment of resources and passion to deliver to our attendees the connections, knowledge, education and NCPD hours. Participants who will attend in Providence take on additional travel expenses and we appreciate this, while those who benefit from the recorded education do not. Overall, this event will offer NCPD hours in the Conference To Go package and we believe that is incredible value for the fee.
What about other fees?
The fees for the Chemotherapy Biotherapy Instructor Course, Leadership Course, Pre-Conference Sessions, and the After Dark event will be published once registration goes live. All the hosted Symposiums and the ONCC Recognition Breakfast are complimentary but have limited seating.
Can I pay with a check?
Yes. Complete your registration and at the end indicate that you will send a check. However, if checks have not been received one week prior to the event, you will be contacted, and your registration may be canceled. Please make sure your institution labels your payment with APHON Conference 2025 and your name and sent to 1660 International Drive, Suite 600 McLean, VA 22102.
What if I have questions about my group registration?
The group rate can be coordinated for four or more individuals from the same institution being paid via one payment. You can add multiple registrants on a single file and place on a credit card or contact us at APHON@mcievents.com to coordinate a check or electronic payment.
Can I register on-site?
All attendees are encouraged to register online in advance, but walk-up registration will be available each day of the event. However, items such are pre-conference workshops and other special events may not be available for on-site registration if they are at capacity.
Can I pay for a one-day in-person attendance?
Because all registrations come with access to the event app and education session recordings, we will not be offering a one-day on-site rate in 2025. Please select the in-person category and let us know what days you will be present.
Did you know Rosh Hashanah concludes on September 24?
Yes, and we understand this may limit the option to participate in the Leadership Course and pre-conference workshops, but we do hope you will be able to travel to Providence and join us for the opening keynote session on the afternoon of September 25. Please know that many factors go into selecting a destination and when reviewing the venue proposals and assessing the offered schedule and price point, the Rhode Island Convention Center and Omni Providence Hotel were the best overall option for APHON in 2025.
Is there a minimum age for an attendee?
Students must be at least 17-years-old.
What if I need to cancel?
Please contact us at APHON@mcievents.com to learn about your options, but here are things to know:
- All refunds will be charged a $40 processing fee.
- Up until August 21, 2025 – A 50% refund plus the $40 processing fee will be charged. This will be a full cancellation – no access to the conference app or post-event recordings.
- August 22, 2025 and after – No refund permitted, but registration can be changed to a Conference to go package or transfer to another attendee at no charge.
Any requests for cancellation due to hardship need to be submitted in writing with a full explanation. If approved, a processing fee will be applied. Requests will be reviewed by the APHON Treasurer. Exceptions could be death in immediate family, long-term hospitalization and rehabilitation care for the attendee, or early maternity leave for the attendee. The hardship would need to not only impact the days of the live conference but also weeks of the recorded education access.
